Please read our booking conditions below which apply to all bookings made with Norfolk Cottage Agency
The hiring contract will be between you (“the Hirer”) and Norfolk Cottage Agency (NCA) and shall be deemed to be made subject to these Conditions of Hire and governed by English Law. The Contract of Hire is not effective until Norfolk Cottage Agency dispatch to the Hirer written confirmation of the booking this may be by e-mail (Confirmation of Booking).
Once we have issued a Confirmation of Booking email to you, you are responsible for the total published price of the booking including extras as shown on the Confirmation of Booking. A deposit of 33% of the total cost of your booking must be paid within 2 days of making the booking. If this deposit is not received within 2 days, your booking may be cancelled at our discretion.
The balance must be paid at least 6 weeks before the start date of your holiday. If the balance is not received by this date, your booking may be cancelled at our discretion. Your deposit will be forfeited and you will remain liable for the balance payable.
You must check your booking acceptance as well as any other documents we send you carefully as soon as you receive them. If any information appearing on any document appears to be inaccurate in any way, you must let us know straight away. We regret we cannot accept any liability to make changes if we are not notified of any inaccuracy in any document within 10 days of sending it out.
The booking is for the number stated on the booking form. Any changes to the number in your party must be made in writing and agreed by us. Under no circumstances can the “sleeps up to number” for the property, as stated on this website, be exceeded nor may any person other than guests booked and staying in the property, for their holiday, use the facilities and amenities of the property. If the hirer wishes to hold any function involving people who are not booked into the property they must obtain written permission from NCA. If any of the above terms are not adhered to, the booking will be terminated immediately without any refund.
BOOKING FEE: Norfolk Cottage Agency charges a non refundable booking fee of £19.95. This covers all the administration required for your booking.
DAMAGE WAIVER: The majority of our properties will be on our damage waiver scheme. This £20 non refundable fee covers you for up to £200 worth of damage in the property and as such, there is no refundable damage deposit to be paid. If you create damage worth over £200, you will be liable for the difference between the total bill and £200.
REFUNDABLE DAMAGE DEPOSIT: If the property you have booked is not on our damage waiver scheme, there will be a £200 refundable damage deposit which will be refunded to you within 5 working days of your departure should there be no damage to the property.
CANCELLATION AND INSURANCE: Once you have booked your holiday, our agreement is a legal contract and your deposit is non-refundable. If for whatever reason you cannot take your holiday, you are still liable to pay for the booking in full, even if we have not yet received your deposit and/or balance. If we do succeed in re-letting the booking, we may at our discretion, refund you any money paid minus a £25 administration fee.
Please note that your deposit is not refundable under any circumstances (other than listed above). For this reason we strongly recommend that you take out cancellation insurance, which is inexpensive and can be obtained from any good broker.
NON-AVAILABILITY OF ACCOMMODATION: We would only cancel your holiday if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you for the holiday. Our liability would not extend beyond this refund.
FORCE MAJEURE: Except where otherwise expressly stated in these booking conditions, the Owner or Norfolk Cottage Agency can accept no liability where the performance or prompt performance of the Owners or Norfolk Cottage Agency’s contractual obligations is prevented or affected by, or you otherwise suffer any damage or loss as a result of “Force Majeure”. In these Booking Conditions “Force Majeure” means any event which the Owner could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, actual or threatened terrorist activity, pandemic, industrial dispute, natural or nuclear disaster, adverse weather conditions, power outages, flooding, fire and all similar events outside our control.
DEPARTURE: Please be ready to leave the accommodation by 10 am on the day of departure, unless otherwise arranged. Please leave the accommodation, clean and in the same condition as you found it.
DAMAGES AND BREAKAGES: Please take care with our properties and their contents. Please report these as soon as they occur.
You are not permitted to smoke in any Norfolk Cottage Agency property.
NOISE: Most of our properties are situated in residential neighbourhood. It is your responsible to be respectful and not to cause an annoyance or become a nuisance to occupants of adjoining premises.
KEYS: House keys are the responsibility of the hirer should these fail to be returned on the day of departure we reserve the right to change the locks on the property immediately without notification, on security grounds. The full cost will be charged to the hirer.
LIABILITY: We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
WIFI: If the property you have booked advertises it has WiFi, this is subject to availability and local network conditions. Norfolk Cottage Agency can make no guarantees that the WiFi will be operational for the duration of your stay.
ELECTRIC VEHICLES: Not all our properties are safe to charge electric vehicles so if you have plans to charge your car in our of our properties, you must write to us before the start of your stay and we will be able to advise if this is safe and suitable to do so. You may only use manufactured approved cables to charge your car and Norfolk Cottage Agency reserve the right to charge if we have not been made aware of your plans to charge a car at the property. Should the charging of your car create any electrical problems at the property, you will be responsible for the costs of repair. Any damage caused by the charging of electric cars will NOT be covered by the damage waiver.
DOGS: If the property you have booked accepts dogs, please read below. If your property does accept dogs, there is a charge of £20 per dog.
Dogs are not permitted on the furniture. If your dog is allowed on chairs at home you must bring your own covers for our furniture. Under no circumstances are dogs allowed in bedrooms. If your dog has been found to have damaged any part of the house or furniture, you will be charged for this. Norfolk Cottage Agency cannot guarantee that the property will be completely free of pet hair. Please note, the only exceptions to dogs being able to enter bedrooms are service dogs.
We do not allow dogs to remain in the property or garden unattended at any time. If we receive complaints, are called out to calm an unattended dog or simply find your dog unattended in one of our properties we will make a charge of £25.
CYCLES: Please do not bring cycles into any of the properties. We will fully charge for damage or extra cleaning required as a result.
LINEN & TOWELS: Linen and Towels are provided within the quoted rate. Please ensure you have ordered all linen or towels at least seven days before your holiday start date. After this time we will not be able to split the Super king beds.
DATA: Any data collected during the course of this booking will be kept on computer files and held in accordance with our terms and conditions.
ARRIVAL: Your accommodation will be available to you at the time stated in the letter/e-mail we send you confirming receipt of your final balance payment. This payment should be sent 8 weeks prior to the commencement of your holiday. This is unless otherwise arranged. Please try not to arrive earlier, we will still be busy preparing your accommodation.
GENERAL: 1) The person making the booking (who is responsible for the cottage) must accompany the party for the duration of the holiday and be over the age of 21. 2) We reserve the right for the purpose of maintenance etc, to enter the cottage with or without workmen (even in the absence of the occupant) at any reasonable time. 3) The booking is for the purpose of a holiday only and no security of tenure will be created.
